Terms of Service

Last updated: June 2026

By using Penroll, you agree to these terms. If you don't agree, don't use the service.

What Penroll is

Penroll is an AI hiring copilot for small and medium businesses. It covers the hiring pipeline end to end: generating and publishing job posts, AI-ranking and screening applicants, scheduling interviews, and producing offer letters and reference checks — all from one workspace. AI-generated content (job posts, candidate rankings, offer letters) is a draft or recommendation, not legal advice or a hiring decision made on your behalf — you review and approve every step.

Not a substitute for legal counsel

This is important. Penroll's AI-generated content references jurisdiction-specific employment law where appropriate, but it is a draft that has not been reviewed by a lawyer. Before using it for hiring, employment, termination, or any matter with legal consequences, you should:

Penroll is not a law firm and does not provide legal services or advice.

Plans and payment

Penroll runs on a credit-based plan structure: Free, Starter, Growth, Scale, and custom Enterprise pricing — see penroll.app/#pricing for current plan details and credit allowances. New workspaces get a one-time 25 free credits with no card required. Paid plans are billed monthly or annually via Stripe; cancel anytime and you keep access until the end of the current billing period.

One-off credit top-ups and per-hire purchases are non-refundable once any credit from that purchase has been spent. Subscription charges are refundable within 7 days of the initial charge if no credits from that billing period have been used — email support@penroll.app.

Accounts and workspaces

You sign in with Google or an email magic link — there are no passwords to manage. Each account belongs to a company workspace; the person who creates it can invite teammates from Settings → Team. Seat and usage limits, where they apply, are set out per plan on the Pricing page.

Acceptable use

Don't use Penroll to:

Candidate data and your obligations as Controller

For data your candidates submit through Penroll (CVs, screening answers, interview and offer details), you are the data Controller and Penroll is the Processor acting on your instructions. This relationship, including sub-processors and security measures, is governed by our Data Processing Agreement, which forms part of these Terms. You’re responsible for having a lawful basis to collect and process candidate data and for your own privacy notice to candidates.

Liability

Penroll is provided "as is". To the fullest extent permitted by law, our liability for any claim arising from the service is limited to the amount you paid us in the 12 months before the claim. We are not liable for indirect, incidental, or consequential damages — including any damages arising from your use of generated documents in legal, hiring, or employment contexts.

Termination

You can stop using the service at any time. We can suspend or terminate accounts for material breach of these terms.

Changes to these terms

We may update these terms occasionally. Material changes will be communicated by email (for paid users) and via a notice on the site. Continued use after a change is acceptance of the updated terms.
