Common questions

How is this different from an ATS like Greenhouse or Lever?
ATSs are built for in-house recruiting teams running 50+ open roles. They cost $300+/month per seat and assume you have a recruiter on staff. Penroll is built for the founder, ops lead, or hiring manager doing 1-5 hires a month — fewer features, better defaults, ~50× less expensive.
Will candidates know they're being AI-ranked?
Yes — and that's a positive story. The public application page tells candidates the post was AI-generated and that we apply AI-assisted screening. Scoring is based on skills and measurable experience only — not demographics. Being transparent earns trust with both candidates and labour authorities.
Is the AI ranking biased?
We never train on candidate data. The ranking prompt is explicitly instructed to ignore name, gender, nationality, age, and any other protected characteristic — scoring is based on skills, experience, and measurable accomplishments only. We also flag suspiciously generic CVs so you can spot AI-generated applications.
Which countries does it work in?
Anywhere. The AI applies country-specific employment law and clauses automatically — US EEO statements, UK Equality Act 2010, Germany AGG, UAE Labour Decree, EU GDPR notices, and more. Major markets have particularly strong coverage. For high-risk documents like terminations, we always recommend a final review by local counsel.
How does GDPR work?
You're the data controller — Penroll is the data processor. Every applicant agrees to a consent checkbox before submitting. CV data auto-deletes after 90 days for unselected candidates. All data is hosted in the EU (Frankfurt). Right-to-erasure requests can be filed in one click.
How do credits work?
A credit funds one AI action. Generating a job post = 2 credits. Ranking one CV = 1 credit. Sending an offer letter = 2 credits. A full hire (job post + ~20 CVs ranked + offer) costs around 26 credits. Free plan gives you 5 credits to try the pipeline. Growth ($49) covers 3-4 full hires per month. Unused credits roll over on Growth and Scale.
Can I publish to LinkedIn or Indeed?
Google Jobs is built in (free, via JSON-LD schema) — your post gets indexed automatically. Indeed and LinkedIn require partner-API approvals which we're working on. In the meantime, you can copy your hosted application page link to any job board, Slack channel, or X post.
What happens if I cancel?
You keep access to your jobs and applicants until the end of your billing period. Hired candidates stay yours forever. Unselected applicant data deletes per the 90-day GDPR policy.
Is my candidate data ever shared with third parties?
No. CVs are stored in EU-region storage. Our AI provider processes prompts but does not train on them — we use the zero-retention API mode. Your hiring data is yours.
